We are committed to respecting your privacy rights and safeguarding your personal information in accordance with the Privacy Act 1988 (Cth) (the “Privacy Act”).

Collection of Personal Information

We do not routinely collect or store personal information through our website. However, should you provide personal information via direct contact, we commit to maintain its confidentiality. While not actively seeking personal information, we are equipped to manage any data voluntarily provided by you. This includes the use, storage, and protection of your information against misuse, interference, loss, unauthorised access, alteration, or disclosure.

Definition of Personal Information

Personal information, as defined by the Privacy Act, encompasses any data or opinions about an identifiable individual, recorded in any form. It includes information from which your identity is apparent or can be reasonably ascertained.

Use and Disclosure of Personal Information

We use personal information to respond to inquiries, manage complaints, and fulfill service requirements. This may involve verifying your identity with documents like your driver’s license or passport. We may also source personal information from third parties or public records if permissible under law. ‘Sensitive information’ (as defined in the Privacy Act 1988 (Cth)) is handled with additional care, only collected and disclosed with your express consent or as legally required.

Legal Requirements

When legally mandated, we may collect certain personal information. This includes compliance with the Anti-Money Laundering and Counter-Terrorism Financing Act 2006 (Cth), tax laws, and other statutory requirements. We ensure that you are informed of such collections and their legal basis.

Anonymity and Pseudonymity

While interactions with us generally require identification, we respect your right to anonymity and pseudonymity where feasible. Unless legally required, or it is impracticable for specific transactions, we support the use of pseudonyms or anonymous engagements.

Information provided by a third party

If a third party (e.g. your financial or personal representative) provides us with your personal information, they should only do so if they have your authority or consent to do so or if they are legally permitted or required to do so.

Security of Personal Information

We commit to taking all reasonable precautions to protect information from misuse, loss, unauthorised access, alteration, or disclosure. Our security infrastructure includes advanced encryption, firewalls, intrusion detection systems, and stringent access controls. We also take reasonable steps to securely destroy or de-identifying personal information when it is no longer needed for legal or business purposes.

Access and Correction of Personal Information

You have the right to access the personal information we hold about you and to request corrections. We strive to ensure that your information is accurate, complete, and up to date. Requests for access or correction can be directed to the contact details provided, with responses issued in compliance with our legal obligations.

Disclosure to Third Parties

Your personal information may be disclosed to third parties in the course delivering our services to you, or as required by law. We ensure that such disclosures are compliant with the Privacy Act and are limited to the necessary purposes for which the information was collected.

We commit to taking all reasonable precautions to protect information from misuse, loss, unauthorised access, alteration, or disclosure. Both our employees and contractors are obligated to adhere to these confidentiality agreements, as well as the standard confidentiality provisions embedded within our policies.

Marketing and Third-Party Disclosure Restrictions

Your personal information will not be included in the marketing database nor disclosed to third parties for direct marketing purposes. We do not engage in selling, renting, or trading your personal information to third parties for the distribution of marketing materials to you.

Currently, we do not engage in marketing or collect data for such purposes. Should our policy change, comprehensive opt-out mechanisms will be provided to ensure your choices are respected.

Eligible Data Breach

In instances where we become aware that there has been a loss of, and/or unauthorised access to, or disclosure of, your personal information, we will perform an assessment to determine if that loss, unauthorised access or disclosure is likely to result in serious harm to you.  If there has been an ‘eligible data breach’ we will notify you as soon as practicable of the details of the breach and the actions being taken in response to the breach.

Changes to Privacy Statement

This Privacy Statement may be updated to reflect changes in the Privacy Act or our privacy practices. Notifications of significant amendments will be posted on our website. You can request the most current version of our internal Privacy Policy at any time without charge.

Access and Correction of Personal Information

You can request access to your personal information by contacting us using the provided details. Identity verification is required before access is granted. If access is denied due to legal reasons, such as privacy concerns or confidentiality breaches, we will provide a written explanation and detail the available complaint procedures.

We handle all privacy-related complaints with seriousness and confidentiality. If you have any questions about this policy, wish to make a complaint, or believe your privacy has been breached, please write to our Privacy Officer detailing the incident.
